MILES FOR SMILES MOTORCAR EVENT

RULES & REGULATIONS

  This motorcar event is billed as an endurance race in name only. It is a timed, mileage based event, not an actual race.

    Registration has been extended and will close on September 24th 2011.... 30 minutes prior to, the last event participants, departure. 
         
   All participants agree to abide by, and accept as final, the decisions reached by the event organizer

1 ) ..All participants will adhere to local, county and state laws where and when applicable

 
2)…Both the driver and co-driver will be required to show on the morning of the event …

        A) ..a valid drivers license

         Owner of entered vehicle will  be required to show...

        B).. Proof of insurance for the registered vehicle. Along with manufacturer , model

               and year of manufacture for the registered vehicle

        C) ..Both the driver and co-driver must sign a waiver pertaining to the event, on the morning of the event

3) .. The registration fee of $50.00 dollars is non-refundable

4) .. The registered vehicle is considered the entry vehicle and a substitution

        vehicle is not allowed  *1

5) .. Vehicle numbers for the event will be assigned according to their  registered entry order

6) .. All entry vehicles must display their assigned vehicle number, placement designated by the event organizers,
        throughout
  the entire race. Failure to do so will result in disqualification.


*    1) .. A substitution vehicle will be allowed, with the organizer's approvial, if the registered vehicle is shown to be out of 
             commission.               


                                                      ---        EVENT REGISTRATION    ---


Event registration closes on the morning of the event, September 24th 2011...30 minutes prior to the last event participants departure......Pre- registration is accepted only via Paypal. On the day of the event a check payable to Charitable Coopers Inc. or cash will be accepted. 

Once submitted the registration fee is non-refundable
 
By registering, the participant, agrees to the aforementioned Rules & Regulations and Event Waiver.   

 

All participants will provide, at  the time of registration, the following information:
      
        A) .. a valid e-mail address ( for contact and event update purposes )
        
        B)..  a current phone number ( to be used only as a secondary contact means )

   
C )..  Entered vehicle .... Manufacturer, Model & Year of Manufacture & name of owner.

                                                                      ---  EVENT   SCORING ---

The event will be scored in two ways :


1) The event is a timed event with a predetermined course time having been

     designated by the organizer. This designated time will have been determined by the

     number of course miles divided by a course average speed.

2) ..The event will be governed by a predetermined number of miles. Having been

       determined by the event organizer

Timing will be governed by three synchronized  digital clocks.

The event will be scored according to timing in three separate segments…

        A) .. Beginning to checkpoint 1

        B) .. checkpoint 1 to checkpoint 2

        C) .. checkpoint 2 to Finish / Starting line

The event will be scored according to mileage in three  seperate segments

        A) .. Beginning to checkpoint 1

        B) .. checkpoint 1 to checkpoint 2

       C) .. checkpoint 2 to Finish / Starting line

Each participant shall be allocated 1000 points per segment, for a toatal of 3000 pts. at the beginning of the event. The participant's goal will be to traverse each segment, travelling the predetermined distance in the alloted time and mileage, in order to retain the total of the 3000 points. Participants shall incur demerits against their 3000 points in the following 4 ways

A) .. Arriving too early …30 pts. per minute

B) .. Arriving too late …..30 pts. per minute

C) .. Improper distance

         A) .. additional segment mileage 30 pts per mile

         B) .. under segment mileage 30 pts per mile


Example 1000 pts per segment.

Segment 1.…….

5 minutes late @ 30pts. per min.  = 150 pts

3 miles more than predetermined segment mileage @ 30 pts.  per mile = 90 pts

Total demerits deducted from segment 1 would be 240 pts .... 1000 - 240 = 760. Pts. .... for that segment.


All event mileage and times will be recorded on an official score card issued at the event. Failure to present the official card,completed with the necessary signatures,
initials and notations, at the completion of the event, will result in disqualification.


Each vehicle's driver shall state, to the designated course worker, the entered vehicle's odometer mileage and reset the trip odometer if applicable at the start of the event, just prior to their immediate timed departure. Their signature along with the starting line course workers initials, must be on the card prior to their official start. When the official clock indicates the start time,the entrant must leave the starting line immediately.

                                                                      

                                                                  ---        VEHICLE NUMBERING--- 

All participating vehicles shall be assigned an event number based upon their order of registration as it corresponds to the official event starting time. 

Example :  1st registrant shall be given a designated event number of 100.  corresponding to a 10:00 am  start time
                   2nd registrant would be given a designated event number of 103  corresponding to a 10:03 am start time

Participant's vehicle's will be dispatched in 3 minute  intervals.   .
                                                                                                                                    

Example : first vehicle to depart at 10:00 am  The second vehicle departing at 10:03 and so on until all the vehicles have departed.

9:30 am Participants to autos

9:50 am First three entrants to departure line

10:00 am First vehicle to leave

10:03 am Second vehicle to leave

3:00 pm First of vehicles should begin returning to West Baden Resort.

5:00 pm Last of vehicles should be returning

In the event that there may be vehicles that return later than 5:00 pm. we will

allow a 30 minute window before proceeding to the events other activities.


6:00 pm Raffle drawing / random - complimentary gifts given out

6:30 pm Awards to winner

7:00 pm Conclusion of activities
